HR's Hardest 1:1s

Employee Exit Conversations

A practical template for respectful, well-managed exit conversations.

Whether an employee is resigning or leaving involuntarily, the final conversation should be clear, consistent, and well documented.

Use this template to prepare before you walk into the room.

What's at stake

Every exit conversation should answer three questions:

Why is this happening?
What happens next?
Who owns what from here?

If the employee leaves with uncertainty, the conversation isn't finished.

Phase 01

Before you walk into the room

Confirm the facts

Final working date

Transition plan
Outstanding responsibilities

Align internally

Everyone in the room should understand:
The purpose of the meeting
What will be communicated
Who will answer which questions

Check yourself

Ask:
Am I being clear without being abrupt?
Have I prepared for likely questions?
Do I know what information I can share today?
Phase 02

During the conversation

Open with facts

Lead with clarity. Don't delay the purpose of the meeting. Explain why you're meeting, the decision (or resignation), and what happens next. Then pause. Give the employee time to respond before moving into logistics.Don't delay the purpose of the meeting.
